i do not agree, i use false email addresses because some in the community do not want to publish or use email. some will not even register so i register them using a false email address. this allows the board to identify member for billing purposes.

I agree that checking for validity at registration is a good idea. I do suggest that any actual changes to email addresses be the responsibility of the address owner only, not the administrator -- even for typos. There is too much risk of real or perceived privacy violation or even deliberate manipulation.

Meredith Owens: Well I had a couple of cases of household registrations using one person in the household's email. But both members do have email addresses. But they were not able to enter two email addresses. So then they needed to create a second registration. And sometimes I want to create a Test registration as a Renter and if I use my email address, I get an error message. So, it seems that there can only be one person associated with an email address so I was wondering if in your system you don’t allow this as the email address is acting the way a unique identifier would be. I most familiar with those in Healthcare IT where the medical record number is the unique identifier. I hope that helps Meredith

Jody Leeds: Thank you for explaining that further, Jody. Yes, we determine who a member is based on their email address. This is why the same email address cannot be listed for more than one individual because we wouldn’t have a way of telling which person is logging in.
If there is more than one member on an account, they can each add an email address, as long as they are different and not a duplicate of one that is already registered on the website.

Meredith Owens: i do not like this approach, it assumes everyone has an email address. many in our community are elderly and don't have email addresses. need a different unique identifier and user id approach, IMO.

It would actually be better if administrators have the ability to fix the email address or change it. We've had several owners who have switched email accounts, in some cases losing access to the old one, and the only way we've been able to provide them with an account is to give them a new one which can mean recreating a lot of data. There should be some way for a member to change their email address and password without requiring access to an old or potentially invalid address.

Meredith Owens: I am aware of these restrictions. Unfortunately, this article doesn't say what should be done if a account holder forgets their password and no longer has access to the email because it was wrongly entered (either in bulk or by the user themselves) or they have switch email providers. The only solution right now is to delete the account and create it with a new email address which has the unfortunate side effect of deleting all information associated with that account.

Meredith Owens: I don't see a response to Thomas' question. What is the procedure for getting someones account updated when they have lost access to the email address used? This is not an uncommon event. Deleting an account and losing the history is not an acceptable solution.

Phil Wright: I'm afraid that, currently, if the member doesn't remember their login credentials and doesn't have access to the email address on their profile, the solution would be to register a new account for them.
We are looking at another feature request that would allow an administrator to perform a requested information update. If implemented, that should more easily address this situation. Dave Belko: We appreciate you sharing this feedback! In the distant past, we used usernames instead of email addresses. However, this led to a number of issues—like people frequently forgetting their username. Therefore, we don't have plans to forego using email addresses for user IDs when logging in.

Meredith Owens: It would be great to have a email sent upon registering to verify the email address. Once the user clicks on the link in the email, then the account becomes active, and they can complete the rest of the registration like setting up their member account.

Meredith Owens: What happens if our website sends out a blast and a particular recipient has changed email addresses without notification and the old address is no longer active. Is the email bounced back to us or is the website notified that the email is undeliverable?

Doug Vogt: To clarify, for this situation, the member changed email addresses, but didn't update the email on their profile? If so, yes, our system would be able to identify an email address that no longer exists, and the message would be dropped.

Doug Vogt: If you were to send a communication to that email address, in the detailed send log would be a message indicating the email had been dropped. You could then run it through the email auditor in the "Communications" section to see the reason, like if it was no longer in existence.
Additionally, you're welcome to reach out to our customer success team to ask them to check the validity of an email address.

Sue Stone: I'm afraid we don't have plans to allow members to fill out the registration form without entering an email address, as that's part of the login credentials. However, as an administrator, you can import a member into your website without an email address. They would be considered a partial member at that point, which you can learn more about here: https://help.hoa-express.com/en/articles/2390078-types-of-members.

Meredith Owens: Can partial members with a physical mailing address receive a group postal mailing? Can partial members receive a group text message if they listed their phone number?

Colleen Wilson: Yes, you can send mailed letters to partial members! However, since a cell phone number isn't currently collected for partial members, you would not be able to send them a text message from the website.
