Smart groups (automatically created)
Wes Cossick
A "smart group" would automatically determine its members/accounts based on certain factors. The system could support "default" smart groups and "custom" smart groups.
----- Default smart groups: -----
Default smart groups would be ones that could be created without any admin input. Examples include:
• Streets (one group per street within the community, with all accounts that live on that street)
• Board members (a single group, with all members on the "board members" page type)
• Committees (one group per committee, with all members listed in that committee on the "committees" page type)
• Buildings (this would be more complex, but it’d look for patterns that indicated the community has 2+ multi-tenant buildings)
----- Custom smart groups: -----
Custom smart groups would be ones that could be created by the admin, but would need certain details to be provided. Examples include:
• Collection of streets (admin would select 2+ street names; useful for sections within a community)
• Last login (admin would indicate more/less recent than a certain time period; e.g., more recent than 30 days or less recent than 6 months)
It would be nice to be able to toggle the default smart groups on or off. For example, if you don't need smart groups based on streets, you could disable this type of default smart group.

I am curious if this has developed any further? Our committee created the website and have been having the property manager maintain the new requests, content, etc but are now realizing the new members may no be getting added into the groups we created so not all are getting the email blasts that are for a certain group. The smart group feature would eliminate that problem so I'd be very interested to know if we can have those on certain named streets automatically added into a given group? Thank you.

Default group for new members

As configuration option, allow all new members to be added to specific group or groups. As example, we have "Association Member" and "Association Resident" groups. Almost all members will belong to these groups so it would be nice if we did not have to manually add each new member to them.
Jody Leeds
Can't you accomplish that with Account Type settings? We have 3 for Homeowner, Renter and Property Managers.

There is a request (was?) to have the group assignments be a prt of the "approval process" which would certainly help with this item. We assign accounts / members to al least two groups upon their approval.

I was just banging my head against a wall that Smart Groups would appear to solve. For now, I will have to create matching groups and committees manually to do what I need. I hate the idea, but it will be okay. I will very happily trade that approach for "Smart Groups" when they become available. It'll help greatly with future management of the site.

Auto-created groups for board members and committees
Joseph Fry
Automatically create groups based off of the list of members on the board members and committees pages. These groups could then be used for page restrictions, communications, etc.
ORIGINAL POST:
Currently, the data on the Board Members and Committee pages is static and not tied to anything else.
I would like to see the board and committee membership configured in the dashboard. Groups should be automatically created for "Board Members", "Board Officers", "Committee Chairs", and for each individual committee's membership.
The Board and Committee pages should be built dynamically from that information... rather than being directly editable.

This would be soooooo helpful for a building:
Example Smart Groups:
Fourth Floor Owners: "All owners whose unit number begins with 4"
07 Tier Owners (building water issues): "All owners who unit number ends with 07"

I agree totally! I had been assuming that my "Board Member Group" was populated off of the members I had selected to be board members on the "board member directory" page. It took one of the board members not being able to access some info that was reserved for the "Board Member Group" for me to figure out these two lists are separate. Once I figured it out (with the help of Jennifer here at hoaexpress) I also figured out that old board members still had access to proprietary board member info since I didn't know to remove them from that group.
I'd like to see the "Board Member Directory" auto-create the "Board Member Group"

It would be nice if one of the "default" smart groups was whether the user had a mailing address inside the community and call them "Residents"

A gender option for the groups would be nice; e.g., for Ladies Lunch, etc.
Meredith Owens
@Toni Hullstrung: If you have your registration settings set to ask for the gender of your members, our system will automatically group them based on what they select. From there, you can send communications to a specific gender if desired.
I checked your website and noticed you currently have the settings set to not collect this information. Therefore, if you'd like to capture this moving forward, I would recommend updating that from the "Registration" tab in the "Settings" section of the Admin Control Panel.
