First, just want to say how much easier HOA Express has made my life as a board member. Excellent software. Keep up the great work!
That said, this is our second year using the software and our first year using the online payments option. We're running about 50/50, online payments and checks. I looked through several of the suggestions and add my vote for payment enhancements, which will impact both admins and all members of the HOA. Being able to mark payments made outside of online payments (via check, etc.) so the sentinel is turned off is "nice" validation for homeowners to see their payment has been received. It also benefits admins so we don't have to track payments outside of the system.

Ability to make current payment option inactive and then do a new one that only applies to a group. We charge a late fee and this would allow us to set up an online payment option that only applies to a small group of residents once we make the initial one inactive.

Mike Mather and Admin Brookmere: The ability to track payments made outside of the website (e.g., checks) is a capability you'd find with community/resident management software. Great proposal! An item to also consider: Please allow administrators the ability to check the indicator representing payment is complete for those homeowners who do not pay online (check, cash, money order). Two reasons: (1) The homepage's payment reminder sentinel should be turned off if payment is made via any method; and (2) in Communication, in Selection Options, one may select either group: paid online/not paid online. Indeed payment has been remitted, albeit not via the online method.

The payment with late fee appearing for all homeowners creates much confusion. Some have paid twice which then requires us to give them a refund. I would like that once paid by HOA Express the payment notification goes away for that home

John Wilson: I noticed that you've created two separate online payment options for collecting a late fee, as well as the original payment amount plus the late fee. Since these are new payment options that have not yet received any payments, they will be available to all members.
We recommend that you update the amount on the original payment option. Since you have set up your original "2025 HOA Annual Dues" option to accept only one payment per account, the updated amount will be available only to those who have not yet submitted a payment.

Great idea. I'd also like it so that we can set audience restrictions on every individual payment option we set up. We have some residents who pay only HOA dues and others that pay HOA dues plus mowing fee. With audience restrictions per payment option, we can then make sure our residents are seeing the correct payment option.

This would be a fantastic feature. In addition to this, the ability to log payments via check on the back end so that each homeowner is aware of the balance at any moment.

This capability would be very useful. Right now we don't have a way to just target the residents who are delinquent with annual dues payments to make those payments online. We have to keep the online payment function open to everyone, and that has resulted in a few of our members to double pay.

I am reading through this post, but not seeing a resolution to this problem. Has something been added to the software to resolve this. We continuously run into confusion of payment options still being available even after payments are made. This seems easy to resolve will just having selectable owners or groups for that the payment options and when payment is made that member is automatically deselected from the payment option. Feedback on this please?

Dan Pruitt: This post is still on our team's radar but hasn't been developed yet. When we are at the point of being able to implement this, our team will update the post's status, and you'll be notified via email.
What you've described, though, is a payment option setting that needs to be updated. If the "Allow multiple payments per account" setting is selected, even after a payment is submitted, that option will remain available to the user. This would be the same even if the above request is implemented.
We recommend only checking this setting if it's a payment option that a member would need to pay more than once (e.g., monthly dues, quarterly fees, etc.). Instead, if you unselect this option, an account will only be able to pay that payment option once, and then it will no longer be available to them.
