Export members as .vcf files

Allow exporting member information into a collection of .vcf files—the standard file format for email contacts. These files could then be imported into the webmail interface or into any other email client.

I agree that there should be an automatic transfer between the registered member data on the HOA's website and the email service "HOA Express". At a minimum, name and eMail address information should auto-populate the "Personal Contacts" on the HOA Express email service.

I agree that there should be an automatic transfer between HOA Express and the webmail provider. In addition it would be great to have an export function for other email clients.

This is a great interim fix for a problem that really gets solved by an automatic data transfer between HOA express and their webmail provider. We need our member data available in our email contacts and it needs to be automatic. Too many errors/duplications occur with .Cava uploads. HOA express And webmail could execute an API once a day at least. I have posted a enhancement request on another thread - up vote it or combine this with it.

This seems like a good idea. I think if owners could download the contact info for the other owners, I wouldn't have to keep playing White Pages to members asking me for someone's phone number or email address.

Todd Bianco: I created a "document" page that is locked for registered members only. I upload an updated pdf periodically of the Community Directory so they always can find resident info on that. By creating it as a document page you don't have to constantly remember to "lock" if the directory changes.

Toni Hullstrung: Well, yeah, I could do that too, but why bother when we already have the standard Homeowner Directory with all that info? I'm dealing with lazy people who don't log into the website at all (most of the time) and most forget their password when they need something. If they log in, they can just as easily use the homeowners directory.
We have so many documents, they'd have a hard time finding that too. You have to address the "stupid" factor and make it as easy as possible. Don't forget that they are doing it all in miniature on their phone - god forbid a browser on a laptop or desktop (or even a browser on a tablet). If I could get them to log in just once and allow them to click on a .vcf to download contact info into their phone's contact list, it would be easier and not duplicate work for us administrators.

Jody Leeds: Go to PAGES. Create a new page as a DOCUMENTS page. I call it COMMUNITY DIRECTORY. Then it offers an "UPLOAD" option. I've also created Documents pages to upload board minutes, agendas, etc. You can have multiple documents on the page. The important thing is to lock it so it is just for registered members.

Todd Bianco: When I have changes to a directory I periodically send the pdf out in an email as an attachment, too. I have "stupids" here, too!! Our community has a lot of snowbirds so we have the alternate address, phones, email addresses, etc. in our directory, too. Basically, it's their problem as long as I've provided them with 2 options for access.

But the "Community Directory" page type that is created by folks who register for the site (with their preferences for being listed or not) is what I was referring to. So you manually create a Community Directory document? I was hoping there was some way to convert the Community Directory from the website into a PDF. We are an over 55 community and many of our members want to be able to download and print the directory for themselves.

Jody Leeds: Yes, we have a Community Directory created in WORD. I can update it in word as a doc and then also save a pdf when we have a new resident or someone has a change.

Toni Hullstrung: You're too nice. I already do 100% of the work for this website, converting documents to PDFs, scanning packets sent out by the manager, doing articles, pictures, copy, info on cable, telephone, etc. And yes, our community is mostly a senior community. Lots of snowbirds during season (we're in Palm Springs) and many not very tech-savvy. But they should be able to at least login to the website!

Jody Leeds: We have a separate post open for making the "Resident Directory" page printer-friendly. When implemented, in the print preview, there is an option to save the page as a PDF instead of printing it.

Jody Leeds: I export the community directory to an excel sheet. Do a bit of adjustments, save as a pdf, then publish (under the Resident Directory). I do the same thing after I sort by address, then export, etc... That way folks can print an alpha and/or by street. I usually update once a quarter or so. Our community is 90% retired and some of the older folks are afraid of the internet.

Tonyia Downs: I do not see an option to export the Community Directory. I can only export from the admin side either Members or Accounts.

Jody Leeds: yes, you have to be an admin to export. Then you create a pdf from the excel and publish that for your residents.

Tonyia Downs: Yes I know that but some residents have selected not to display their email or phone number in the directory and the member import doesn't display that. If HOA Express could add those do not publish columns then you could make into PDF for residents. But it doesn't.
