Resident/community management software

Our current objective is to create and improve upon the world's greatest community website builder. Over the years, we've had many communities request features that fall under the umbrella of resident or community management software. This is a separate industry from the one our company falls into, although we do see the similarities. There are a number of companies that provide this type of software, and they generally don't compete with website builders.
Some examples of features that fall under management software include:
- Task/project tracking, usually tied to form submissions (maintenance requests, work orders, ARC requests, etc.)
- Reservation system, usually for amenities
- Resident billing (assessing fines, tracking payments made outside the website, sending notices of payments due, due dates, late fees, etc.)
- Financial tools (accounting tools, vendor payments, etc.)
- Document storage (bulk uploading/downloading of files, data retention policies, etc.)
- Anonymous violation tracking
While management software is on our radar, it's not the industry we're currently in. Still, we'll use this post to gather thoughts, ideas, and comments from customers in case we decide to head that direction in the future.

Request Form "Ticket" Management system (assign and track issues)

I really like that members can submit Requests via Forms and Contact Us messages, but it can get pretty unwieldy trying to manage all those through email. It would be great if those requests also went into a ticket management system where they could be listed as items with date submitted, view the request, and allow the admin/manager to assign responsibility of task to an employee or board member, and then update the status of the task as started, in progress, on hold, completed, and add a note describing the issue and resolution.
I can do this with other tools, but nothing will integrate with your platform.
That would be a game changer worth paying extra for.

Payment registration

I am getting some very negative feedback from members who have paid by check, or whos previous owner had paid the fees for the new home owner. There is no way in the system to mark these users as paid even though they have paid. They are very angry and frustrated at us.
We need a way to mark a member as paid even though they did not use the web site method. This is critical. We'll need to find another service if this can not be provided in the near future.

Robert DiGioia: Tracking payments made outside of our online payments platform (like submitting a check) is a resident billing feature you'd find with community mangement software. That is a slightly different industry than what we provide as a website provider. However, that is a feature we're looking to develop in the future! Therefore, I'm going to merge this post with that feature request.
In the meantime, you would need to manually record and track those payments made outside of the website. Alternatively, if you would prefer to use another payments platform until this software is developed, you can add a link to where members can submit payment on your website. Create a Maintenance Request/Status page

Currently I am using a standard form to request maintenance and an FAQ page to show status, etc. Challenge is the FAQ is not automatically updated with new requests. It would be great to minimize mass reporting of issues (elevator down) by showing what has been reported more timely and share status (received, pending, in progress, on hold, scheduled, complete, etc.)

Point of Sale payment collections

We have some activities at our facilities where we can collect "payments at the door". Is there a way to use the payment system to use an NFC type system like Google Pay/Apple Pay/Samsung Pay/Square without requiring the members to log in? It's great to use payments ahead for planning but we offer "pay at the door' for some.

Denny Dido: Our payment processing partner, Stripe, offers tools that would allow our product team to develop this type of feature! However, that doesn't fall under our current business model of being a community website builder. Instead, this would be a feature found under community/resident management software, which we're looking to develop in the future!
Therefore, we're merging this request with that post, so we can consider developing this capability under that type of software.

Task List page for board members

Hi, we would really like to use a Task List for board members, ideally allowing a task to be assigned to the board member handling it, with their ability to mark the task 'started,' 'in progress,' 'completed,' etc. Would do you think about that?

We are in need and can certainly use most of the features listed under management software.
The feature we need urgently is the end-to-end ACC review process with ability to collaborate between homeowner and HOA from start to finish.
The current workaround process suggested in the blog is cumbersome and difficult to track and trace.
