Option to exclude certain documents from What's Happening emails

Like the "Calendar" page type, we would like to also see the option to exclude certain documents from the What's Happening emails. Some repositories we want to include, some we don't.

Perhaps and a site-level option to control the order in which pages are presented in the blast? Putting the DOCUMENTS page further down would work best for out neighborhood.

Tripp Dixon: We have a separate open post related to this feature request! I've added your vote there, so you'll be notified via email whenever we update its status.

In our community all registered users have the same rights to view content. That said, the Board of Directors and others get flooded with questions from the What's Happening emails. Members are not always the most aware and up to date. If I had a vote, I see no reason to have the What's Happening email whose content, frequency, etc. is controlled by the software, not by the Board of Directors.

I am a newbie - about to go live soon!! I would like to have the option of what to include in What's Happening on an item by item basis i.e.
a weekly/monthly preview the day before of the items that What's Happening will include that week/month, with a checkbox next to each item to mark with an X if you want it included.
Meredith Owens
Wendy MacMillan: I'm afraid that since everyone receives a unique email, we wouldn't be able to generate a preview of the What's Happening email for you to review ahead of time.
As for excluding specific items from the What's Happening emails, we have separate posts for each type of content we're considering allowing the option to be excluded. In addition to the above request, we're also looking at the following:

Remove documents uploaded

I love the what’s happening emails however I feel all the members don’t need to see what documents have been added. It would make for a cleaner look. Or at least have an option to pick what information your community would like the members to see.
Richard Gunther
I'm about to undergo a big content reorganization, which will entail moving many of the documents that hang off of our navigation menu to document pages. This, I fear, will result in a massive list of document posts in next month's What's Happening message. Some way to exclude these docs, which are just part of some site maintenance, would be very helpful.
John Schlitter
I too did not want certain new documents listed in the What's Happening email.
I asked support if the scenario below accomplishes what we're looking for:
- Temporarily Unpublish the page you are uploading documents to.
- Upload the documents
- Re-publish the page
The reply was this: As long as that page is unpublished at the time you upload the document, it should not be included in the What’s Happening email!
We'll see if this works this coming Monday.
John Schlitter
This did not work. The documents were in the What's Happening email this morning
Meredith Owens
John Schlitter: I apologize if there was some misinformation provided. Since new content added to unpublished pages is not pulled for the What's Happening email, that page would've needed to stay unpublished until after the email was generated.
The above feature request should meet your needs, though. If implemented, this would allow you to select documents on published pages to not include in the What's Happening email.

John Schlitter: Know this is old, but would be very interested to hear if this worked. Please skip, didn't see the answer posted.

The only post we've closed regarding the ability to edit content in a What's Happening email was for a capability that we already offer. You can view that post and the instructions for how to edit that setting here: https://feedback.hoa-express.com/feature-requests/p/ability-to-not-include-events-in-whats-happening-emails.
As for your request, do you know what all content specifically you'd like to select to be/not be included in the What's Happening emails?
Mike Segroves
Meredith Owens: Yes, as I said I'd like to Documents. This week. But next week it could be something different.
Mike Segroves
And I'm already using the feature of not having all Calendars included in the weekly email. Like I say, someone else might have a reason for not wanting new additions to a Photo Gallery included. For another site, it could something completely different.
In my specific case, I'm using Documents as a place to stuff documents of all kinds that I'm going to use elsewhere on the site. Not all of your page types offer the ability to Attach a file to a page, so I achieve the same effect by creating a link to a document I've uploaded. Right now I have page restrictions set so that I'm the only user who sees the Documents page in the Menu system.
Meredith Owens
Mike Segroves: Thank you for providing this information. We have an open feature request that aligns with this request to exclude certain documents from What's Happening emails. Therefore, I'll be merging this post into that one here: https://feedback.hoa-express.com/feature-requests/p/option-to-exclude-certain-documents-from-whats-happening-emails.
I've also created a new post for being able to select if you'd like photos on a "Photo Gallery" page to be included in this email. You can view and comment on that post here: https://feedback.hoa-express.com/feature-requests/p/option-to-exclude-photos-from-whats-happening-emails.
For any other specific content you'd like to select to be included or not, please create a new post for it, so we can review each one individually.
Jeffrey Belk
It would also be useful to not include time sensitive calendar events or news post that are past due on the 1st of each month when the email goes out.
Meredith Owens
Jeffrey Belk: The monthly What's Happening email does not include past events, but rather events that are coming up within the next month. If you have events you'd like to alert members to sooner, we recommend updating the sending frequency from "Monthly" to "Weekly." Instructions for how to do this are in the following article: https://help.hoa-express.com/articles/2350133-updating-the-what-s-happening-email-sending-frequency.
If you didn't want to update your sending frequency, another option is to send out a blast email reminder for any upcoming events.
