Joseph Fry: When designing the summary emails, we had to consider the limited horizontal space available in emails. To keep the summary clear and readable, we intentionally included only the most important information. The member's name will be included in this email, and additional payment details can be viewed via the direct link included. This way, the details that don’t fit in the available horizontal space can be viewed with a single click!

Meredith Owens The member's name IS shown in the summary... thats the problem. The summary should show the account/address that the payment was made for, not the name of the user who made the payment.

Our bookkeeper doesn't know the names of the members, the records are tracked according to the property address. In some cases a member owns multiple addresses, and in others, the owner is an llc, or trust. Hell, we had two addresses owned by two different people with the same name.

Our bookkeeper doesn't have access to our website, and we don't pay them enough to log into our site and look up the address for every payment made.

And I don't see any links in my summary emails. Are we talking about the same thing?

Finally, I don't think I am alone in saying that we don't need the emails to be pretty. We need them to be functional. I said it 7 years ago when demanding the emails in the first place; fiscal responsibility is every HOA's primary concern. If your going to allow us to make payments via our site, you NEED to provide adequate tools to make sure payments are recorded and tracked properly.

Every year we have late notices sent to our members because our bookkeeper does not get timely notifications of payments made via the website. Every year we get blasted on social media because it looks like we aren't taking care of our most critical responsiblity.

Joseph Fry: Would you be able to forward the summary email you received to our customer success team, so we can investigate this further?

For the vast majority of communities, the individual(s) receiving these summary emails also have access to the “Online payments” section in the Admin Portal. If your bookkeeper needs to view more details, you can grant them the “payments” admin privilege, or you can easily export a CSV file of payment details for them.

Also, with nearly 500 feature requests under consideration, one factor of prioritization is the number of votes each request receives. This particular feature currently has 17 votes, while others have hundreds. You can learn more about how we handle feature requests here.

Suggesting that because in most cases the recipient also has access to the site and can run down the information they actually need, ignores the fact that the email is now just the first step in a manual process when it could easily eliminate that process altogether.

I do understand that you must prioritize features to implement. But anyone who has worked with an HOA knows that having our finances in order is the #1 priority. If HOA Express is going to accept payments on our behalf, similar priority should be given to anything related to doing so.

Meredith Owens the email summary that can be sent out daily, weekly, or monthly is missing addresses.

Our property manager said she needs the address to confirm she is applying the payment to the correct home. This, she turned off tv summary email and is visiting the website to export the list as a csv file on a regular basis.
