Delete, hide, or archive past communications

Allow admins to delete, hide, or archive past communications.
Any feature of this nature would need to clearly indicate that recipients would still have a copy of past communications, as there’s no way to “recall” an email, text message, or mailed letter once it’s been sent.

Hiding would allow board member to keep their communications private from non board members. How do other communities handle this? Do your board members use email instead of communications?

Wendy Bondeson: It's common for communities to limit granting the "communications" privilege only to board members or property managers. However, if you have others outside of that group who help send communications on the website, then we have a couple of alternative suggestions.
One is to have separate email accounts for the board where they can hold their private conversations. More information about setting up htose email accounts are provided here. https://help.hoa-express.com/en/articles/2346699-create-an-email-account
Second, if you wanted to keep communications on the website, you can set up a "Forum" page that is only accessible to the board where they can converse back-and-forth about different topics. https://blog.hoa-express.com/uncovering-the-versatility-of-a-forum-page/

Meredith Owens I have set up a forum restricted to Board members only.
As a test, I added a forum topic, but dis not receive an email. I figured that was because our what’s happening emails are set to go out once a week on Monday mornings.
I replied to the topic in hopes that an immediate email would be sent, but it was not. My personal preferences are set up correctly:
Instant email notifications for…
All new forum topics
All new forum comments on topics
I don’t see anything on the blog to help resolve this.

Wendy Bondeson: I'm happy to clarify this! When you post a topic/comment to a forum, this email will not be sent to you since you're aware of that action.
However, a notification email will be generated when another individual comments on a forum topic you have created or if you’ve commented on a topic and another member comments after you.

This is a much needed option to include, I am very surprised it does not already exist. People make mistakes, send the wrong email, at the wrong time.
Being able to archive old messages & place them in folders will allow easy organization and retrieval of information when needed.

I am strongly in favor of this enhancement. Being able to archive, hide or delete a communication is expected: It's a common affordance in almost all other apps. At a minimun, hiding will help to keep long lists manageable, though archiving and deleting are preferable.

Any email recipient will still have copies of the communications, if they saved it on their personal computer. It's not necessary to keep showing outdated communications on the HOA website. We only want to keep current / recent communications there, and we all have a copy of the communications stored on our computers.

HOAs should be able to delete old, outdated, obsolete, unnecessary items in the "communications archive" section of the websites. Old items do not need to be saved there. It doesnt matter if a recipient would still have the email or not. The sender will have a copy of whatever they sent usually. They dont need to save it on the website.
